Refund and Cancellation Policy
Clear rules for cancellations and refunds. Same policy for every client, regardless of city or plan size.
We sell ongoing virtual assistant services, not one-off projects. The rules below apply to all Easy Virtual Assistants plans (Starter, Growth, Pro, and custom packages).
1. Month-to-month, no long contract
All plans are billed monthly in advance. There is no annual lock-in, no minimum term, and no exit fee. You can cancel, pause, or change your plan at any time by writing to your account email or our admin email.
2. How to cancel
To cancel, email us at least 7 calendar days before your next billing date. We confirm cancellation in writing within 24 business hours. The current cycle finishes as normal, your VA wraps open tasks, hands over documentation, and removes themselves from your tools at the end of the cycle.
3. Refund window: first 7 days
If you cancel inside the first 7 calendar days of your first billing cycle and we have not started any production work, we refund the full month fee minus any payment processor fees (typically 2 to 4 percent).
If production work has started inside those 7 days (drafts shared, replies sent, tasks delivered, calls attended), we refund the unused portion of the cycle pro rata based on remaining days in the cycle.
4. After day 7 of the first cycle
From day 8 onwards in the first cycle, and in every cycle after the first, the month is not refundable. The cycle remains active until the end of the paid period and your VA continues working as agreed. Cancellation stops the next renewal.
5. Pause instead of cancel
You can pause a plan for up to 60 days with 7 days notice. While paused, billing stops and your VA can be re-engaged at the same rate when you resume, subject to availability of the same VA. After 60 days a fresh start may be required.
6. Plan downgrades and upgrades
Move between plans (for example, Growth to Starter, or Starter to Pro) with 7 days notice. New pricing and scope apply from the next billing cycle. Mid-cycle upgrades are billed pro rata.
7. Quality issues and re-match
If your VA is not the right fit, tell us inside the first 14 days. We re-match you with a different VA at no charge and reset the onboarding without restarting the billing cycle. Continued mismatch concerns after the first 30 days are handled case by case, usually with a full re-match or a partial credit.
8. Service failure
If we fail to deliver agreed scope in a cycle because of our side (for example, no VA available during agreed business hours and no backup activated), we credit the missed work to the next cycle, or refund it pro rata if you cancel at the same time.
9. Disputes and chargebacks
Before opening a payment dispute or chargeback, please email us and give us 48 business hours to respond. We resolve almost every billing question quickly without involving the payment processor. Chargebacks opened without first contacting us may delay refunds and may pause your account.
10. Custom packages
Custom packages (above $1,499 a month) follow the same 7 day refund window for the first cycle. Specific scope changes, milestone billing, or extended commitments are written in the custom package agreement and take precedence over the standard policy on this page.
11. Payment processor fees
All refunds are processed back to the original payment method. Some payment processors (Stripe, PayPal, bank cards) do not refund their processing fee. In those cases your refund is the original amount minus the processor fee.
12. How long refunds take
Approved refunds are issued within 3 business days. The actual time to land in your account depends on your bank or card issuer, usually 5 to 10 business days after the refund is issued.
13. Contact for refund or cancellation
Email easyvirtualassistants@gmail.com from the email on your account. Include your business name and the date you want the cancellation to take effect. We reply inside business hours, usually the same day.
